Job Description – Church Office Administrator
Reporting to the Pastor, the office administrator plays an integral role in ensuring all the moving parts of church ministry and office operations are working effectively. The office administrator will work closely with:
- The Pastor and other church staff
- Members and Attendees of the congregation on a variety of issues
- Church Council
- Committees (Missions, Finance, Facilities and Personnel)
- Volunteers in various ministries
- External entities including but not limited to our denomination, local government, other churches, and
contracted service providers
Key Responsibilities
The role of Church Office Administrator requires a self-starter that has a broad skills portfolio including the ability
to work compassionately with those who contact the office, IT savvy, publications design, and general office skills. A
deep personal relationship with Jesus Christ is paramount and the ability to share this relationship with others is
important.
Daily responsibilities:
- Being the face of the church and a mirror of the Grace and Love of our Lord Jesus Christ in all interactions.
- Maintaining the day to day functions of the office including but not limited to:
- answering phone calls, emails, and in person requests
- providing administrative support for Pastoral staff, other staff, council, committees, small groups,
various ministries, congregants, and volunteers
- processing and reconciliation of payments for regular giving and program registrations
- maintaining and filing of financial and other records / databases related to church operations
- scheduling use of facilities for various events, meetings, etc.
- scheduling and updating the office calendar
- keeping the office neat, tidy and organized
Weekly Responsibilities:
- Preparing the weekly bulletin and advertising on social media upcoming events
- Attend and minute weekly staff meetings and disseminate accordingly
Other ongoing responsibilities as required:
- First point of contact for issues requiring Pastoral Care
- Ensure anything over $500 outside of the budget is first cleared with the Finance team
- Help oversee the church website, social media sites, and other forms of communication including print media
for internal and external audiences
- Prepare the GBC Annual Report.
- Help prepare and submit the office budget to the Finance Committee
- Assist as a liaison to help schedule with weddings and funerals.
- Provide basic troubleshooting / maintenance for office equipment and escalate for further assistance as required
- Administer the telephone, voice mail system, key distribution and security system.
- Maintain office supplies and distribute mail
Financial Responsibilities:
- Record deposits in Quick Books
- Provide budget balances as requested.
- Pay bills - online & write checks
- Reconcile credit card statement with receipts and account numbers.
- Enter contributions into Planning Center app
- Send out annual contribution statements and give reports as requested by donors, verify “regular givers” as need
for leadership.
Qualifications:
- Must have a deep relationship with Jesus Christ and the ability to share this relationship openly in the form of prayer and personal testimony; in order to meet the spiritual needs of the church staff, members, and attendees
- Must have a clear call to serve in church ministry work. Must have the spiritual gifts of administration, service and helps
- Must be a mature baptized believer who can uphold Maynard’s statement of faith and denominational distinctive and a member or adherent in good standing in a church.
- Must have excellent command of English.
- Must have demonstrated the ability to protect confidential information, to create effective relationships with a wide variety of stakeholders, and to work effectively in small teams
- Must have four years’ experience in a small office in a similar role with demonstrated abilities to:
- maintain a filing system and coordinate an office of comparable needs
- create documents for publication in print and online
- perform basic computer troubleshooting and routine maintenance of office equipment
- type 50 WPM and take meeting minutes in an acceptable format
- obtain and maintain a satisfactory police records check and credit check.

Schedule and Compensation:
This is a part-time position at 28 hours per week, Monday to Thursday. 9 AM - 4 PM

$23,296 a year Salary
